BNP Paribas Real Estate Luxembourg is hiring a full-time Property Management Assistant (m/f) to support their Property Management department in Luxembourg. This role includes a range of administrative, coordination, and accounting tasks supporting Key Account Managers and ensuring smooth operations.
π Responsibilities of a Property Management Assistant in Luxembourg
ποΈ General Administrative Tasks
- Handle daily correspondence and manage incoming/outgoing mail.
- Perform scanning, filing, and archiving of property records.
- Maintain procurement-related documents and data.
- Create and manage third-party accounts (tenants, suppliers, owners).
- Handle key and badge distribution.
- Process invoices: print, stamp, and file them appropriately.
π€ KAM (Key Account Manager) Assistance
- Provide essential support to KAMs in managing client portfolios.
- Monitor and respond to tenant service requests.
- Schedule and coordinate meetings with suppliers, tenants, and contractors.
- Draft and circulate tenant notices regarding maintenance or inspections.
- Communicate with suppliers for quotes, interventions, or billing updates.
- Prepare contracts, letters, and meeting minutes (AGMs, syndicate meetings).
- Upload and organize files on internal servers.
- Track legal building checks and compliance.
- Oversee leasing documentation including submission and tracking with authorities.
- Assist with insurance claims: create case files, follow up on reimbursements, and organize expert assessments.
- Manage order forms and ensure correct filing and signature processes.
- Compile monthly, quarterly, and annual client reports.
- Input data on client platforms such as Deepki.
- Record monthly consumption data for tracking.

- Input supplier invoices and contracts into the accounting system.
- Enter bank statement records and reconcile accounts.
- Follow up on supplier payment reminders.
- Track bank guarantees.
