🔍 Job Description Summary

The Project & Stakeholder Engagement Coordinator will support CALSTART’s strategic sustainability campaigns by managing stakeholder relationships, coordinating global events, and ensuring seamless project execution in a fast-paced, mission-driven environment.

⚡ Project Coordinator Responsibilities

  • Event & International Network Coordination: Track deadlines and coordinate timelines for major global sustainability events, including UNFCCC conferences (COP, CEM), ITF, and virtual Global MOU meetings, ensuring all deliverables stay on schedule and meet quality standards.
  • Project Management Excellence: Monitor project timelines across multiple initiatives, implement effective follow-up procedures on key tasks including stakeholder outreach and internal deliverables to ensure project success and stakeholder satisfaction.
  • Event Organization Support: Invite and coordinate panelists for sustainability events, track submissions meticulously, and ensure timely responses from both staff members and external participants to create seamless event experiences.
  • Logistics & Administrative Support: Arrange comprehensive travel logistics, particularly for the Senior Director and representatives attending international sustainability events including the Global MOU Summit.
  • Information Management: Organize and maintain the DTZ SharePoint repository with meticulous attention to detail, ensuring easy accessibility and up-to-date documentation for funder reports, presentations, and annual reports.
  • Stakeholder Relationship Management: Cultivate and nurture relationships with global sustainability stakeholders to enhance collaboration and partnership opportunities that advance CALSTART’s mission of transportation decarbonization.
  • Communication Coordination: Assist in drafting and coordinating communications related to sustainability events and meetings, ensuring clear, consistent messaging aligned with organizational goals.

Essential Qualifications

A successful Project & Stakeholder Engagement Coordinator at CALSTART will bring 3-5 years of professional experience in a similar role, backed by a Bachelor’s degree in Sustainability, Planning, Policy, Communications, or a related field. Your exceptional organizational abilities and time management skills will be essential for juggling multiple priorities in our fast-paced environment.

Your excellent communication skills and proactive approach to stakeholder engagement will help you thrive when working with high-level partners in the sustainability sector. Detail-orientation is crucial for tracking deadlines, following up on tasks, and maintaining meticulous records that keep our projects running smoothly.

Proficiency in Microsoft Office Suite (particularly Outlook, Excel, Word, and PowerPoint) and SharePoint is required, as these tools form the backbone of our project management systems. Desired Additional Qualifications
