🎯 Event Coordinator Responsibilities

Core Event Coordination Duties

  • Client Communication Management: Respond promptly to all client and vendor requests via telephone and email for events in Locomotive Hall, Pilsner Hall, The Gallery, Mezzanine, Kitchen Restaurant, and full venue buy-outs
  • Site Visit Coordination: Welcome clients to the brewery for site visits, providing creative and innovative suggestions to develop their original event visions
  • Account Transfer Management: Ensure seamless client account transfers from sales team with speed and accuracy after contract completion
  • Floor Plan Creation: Collaborate and create detailed floor plans for all event spaces

Event Planning and Execution

  • Vendor Coordination: Manage all deliveries, pickups, setup, and tear-down for rentals, AV equipment, and special event vendors
  • Beverage Management: Coordinate all soft drink and liquor beverage requirements working closely with Operations team
  • Event Meeting Participation: Attend weekly event meetings with audio visual companies and participate in Post Event Notes (PEN) review meetings
  • Pricing Negotiations: Negotiate pricing and revise estimates based on client communications while balancing budgets and revenue goals

Administrative and Client Relations

  • CRM Management: Maintain accurate records including calendar holds, client profiles, billing, and document updates
  • Documentation Organization: Ensure shared folders contain all relevant documents including contracts, quotes, invoices, and payments
  • Client Follow-up: Follow-up with every client within two business days post-event
  • Industry Networking: Foster relationships with local venues and attend hospitality tradeshows as Steam Whistle Events Department ambassador
