Job Description Summary

The University of Glasgow is seeking a dedicated Admin Assistant to provide effective and efficient administrative support for the Geospatial Data Science Team. This role offers an exciting opportunity to work closely with Professor Ana Basiri and contribute to groundbreaking research in geospatial data science.

Responsibilities

As an Admin Assistant for the Geospatial Data Science Team, you will:

• Provide comprehensive administrative support to the team, including managing calendars, organizing meetings, and handling correspondence
• Assist the project manager and team lead in creating and maintaining delivery plans, GANTT charts, and action logs
• Proactively identify opportunities to improve administrative systems and processes
• Develop and maintain the team’s website, handbooks, and social media presence
• Serve as the first point of contact for staff queries related to the team lead
• Manage Geospatial email boxes and Teams channels, providing effective advice and guidance
• Plan, coordinate, and manage administrative activities supporting the team’s core management and working groups
• Support the delivery and administration of the researcher career development programme and bid development
• Organize workshops, seminars, events, and conferences, including travel arrangements for researchers and visitors
• Support operational financial processes, including raising purchase orders and processing expense claims
• Assist in the administration of recruitment programmes, including application processing and database management
• Take minutes and manage records associated with the team, liaising with extended Working Groups leads and advisory board
• Contribute to a culture of continuous improvement by identifying and implementing process enhancements
