Job Description Summary

The University of Leeds seeks an enthusiastic and experienced Institute Administrator to provide comprehensive administrative support to the Institute of Thermofluids within the School of Mechanical Engineering.

Responsibilities

  • Act as the primary point of contact for academic staff, researchers, and postgraduate students within the Institute
  • Collaborate with the Institute Director in managing operations, monitoring budgets, and ensuring efficient functioning
  • Coordinate recruitment processes for postdoctoral researchers, technicians, and casual workers, including visa assistance for international staff
  • Facilitate visitor arrangements, paperwork, and accommodations
  • Assist senior academics with expense claims and proxy duties
  • Organize School Project Presentations, Industrial Advisory Board meetings, and Theme Team meetings, including room bookings, catering, agendas, and minutes
  • Provide diary support and travel arrangements for academic staff, both domestically and internationally
  • Advise staff and students on purchasing procedures, budgetary issues, and electronic purchasing systems
  • Maintain and update the Institute’s SharePoint site, Teams site, and website
  • Onboard new staff and visitors, ensuring proper IT equipment, access, and induction processes
  • Collaborate with the School Manager to assess office accommodation and forecast space requirements
  • Provide guidance and support to research staff and students on HR, travel, and purchasing matters
  • Work closely with the School Administration Team, sharing best practices and improving service delivery
  • Provide cross-coverage and support to other Institutes and the School as needed
